Villa 20 Rental Policies

Reservations may be made by calling 571-213-6776 followed by email. Reservations are tentative until deposit is received.Tentative reservations are subject to changes in rates and availability until deposit is received. Renters must be at least 24 years old. There will be no Spring Break or any other reservations made on behalf of minors by an adult. We routinely check and renters will be subject to immediate removal and forfeiture of rental payment if this policy is ignored.
RENTAL RATES
Ferry, parking, Shoals Club temporary membership fees and taxes are not included in the published rates. Shoals Club temporary membership fees and taxes will be charged at time of booking if elected. Any changes to Shoals Club temporary membership fees and occupancy taxes are outside our control and will be applied and charged prior to arrival. Bald Head Island club temporary membership is included in quoted rates.
MINIMUM STAY REQUIREMENTS
There is a 3-night minimum stay in the early and late Winter, Spring and Fall off seasons and 5 night minimum during early and late value summer and certain holidays – Thanksgiving, Christmas, and New Years. There is a 7-night minimum from June through August.
DEPOSITS AND PAYMENTS
A deposit of 50% of the total account balance, including all applicable fees and taxes along with a signed Guest Rental Agreement, are due within 14 days of reservation. Upon receipt of your deposit and Guest Rental Agreement, a confirmation email will be sent. Your reservation is TENTATIVE until the deposit is received and until you receive the confirmation. Your account balance is due in full at least 30 days prior to your arrival date. Reservations made fewer than 30 days in advance require payment in full at time of booking. Deposits are held in an interest-bearing account with accrued interest payable to the owners. Accepted methods of payment include Visa, PayPal (for payments more than 30-days before stay), traveler's checks, personal check or cash. All checks must be issued in U.S. funds and drawn on a bank that operates within the U.S. Federal Reserve System. A $35 fee will be assessed on all returned checks.
SECURITY DEPOSIT
A security deposit in the amount of $250 will be collected, a credit card will be entered on file, or trip insurance (CSA – Property Damage Protection) can be purchased in the amount of $49. A credit card number is needed to book reservations. Guests are responsible for any damages, other than normal wear and tear, that occur to accommodations, electric vehicles or household furnishings as a result of their occupancy. Owner reserves the right to charge the renter's credit card for any damages found, as permitted under N.C. Statute.
CANCELLATIONS AND REFUNDS
Cancellations must be made by the person in whose name the reservation was made, no later than twenty-one (21) days after the reservation is made, and a confirmation received. Cancellations must be made in writing to:

Once made and reservation number provided, the reservation is your's. If you have to cancel we need to find an alternative renter for the reservation. If we do, you get 100% of your money back. If not we work very hard to find a good option, change of date. Cancellation of a reservation later than twenty-one (21) days after reservation is made shall be deemed a material breach by Tenant, no refunds will be made, and all monies paid will be retained by the Owner to defray its actual damages suffered as a result of Tenant’s breach. Tenant should seek trip cancellation and interruption insurance through the “Trip Preserver” program of Red Sky Travel Insurance, or similar coverage to protect yourself against this possibility. Understand, we do not want to keep money from a guest who can't come anymore than we want to keep your money. But without this policy we will lose income that we expect. We are homeowners - not a hotel.
If, at the time Tenant is to take occupancy of the Property, Owners cannot provide Villa 20 in a fit and habitable condition, Owner will attempt to identify a reasonably comparable property or refund to Tenant all monies paid by Tenant.
No refunds or rental rate adjustments will be made for malfunction of air conditioner, televisions, appliances, golf carts, phone or cable outages, or the like. We just work really hard to get them fixed as quickly as possible. See our renter reviews.
Owner cannot predict the location of construction activity (roofing/decking, etc) in neighbor’s homes and may not be able to inform Tenant at the time reservation. Owner will not make refunds due to construction activity.
TAXES
Your account balance will include a 12.75% N.C. sales tax (4.75% state/2% Brunswick County tax) and a 6% Village of Bald Head Island accommodations tax. Any changes in current tax rates will be applied on the effective date and charged prior to arrival.
CHECK-IN AND CHECK-OUT INFORMATION
As a guest in Villa 20 you are responsible for making ferry/tram reservations before your arrival at Deep Point Marina in Southport. During busy summer months, this is especially critical. The tram driver will deliver you to Villa 20 from the Harbor. The Property Keys will be available to you in a coded lock box on the property. Temporary membership card(s) will be picked up by you at the club(s) offices. Check-in and check-out times for Villa 20 are 3:00 PM check-in and 10:00 AM check out. You are responsible for booking ferry times to and from the island to enable compliance with the required check-in and check-out times. It is advisable to book your off island reservation at the time you book your on island reservation as ferries fill up quickly during the summer and holidays. If you arrive before 3 PM there is NO guarantee that the house will be ready and we would not want you to see the home before it is fully cleaned and ready for your enjoyment. In NO EVENT can you remain in the house after 10:00 AM on day of departure. We can’t begin to explain the problems it causes!
Guests should arrive at Deep Point Ferry Terminal at least 30 minutes prior to scheduled check-in time to allow time for the check-in process, the purchase of ferry tickets from the ferry ticket window, parking and any security processing. Guests who do not allow adequate time for the check-in process, unloading and parking may miss the ferry, or luggage may be transported on a ferry departing at an alternate time. Ferries will depart on time. Upon arriving at Deep Point Marina, drive directly to the ferry to unload and purchase your ferry tickets. Place baggage on the luggage racks and proceed to an available parking lot. When entering a parking lot, a parking ticket will be issued. You will pay for parking upon exiting the lot at the end of your stay.
The 10:00 check-out time indicates ferry departure from the island. Check-out procedures for Villa 20 are posted in the house. When departing the island, make sure all luggage is placed roadside at least 30 minutes prior to scheduled ferry departure time. We regret we cannot accommodate early arrival and late departure requests. Failure to check-in as scheduled may result in a delay of arrival to your accommodations. Failure to check-out from accommodations on time will result in an additional full-day rental fee.

Make reservations to 20 Villa
Guests must call to make ferry/tram reservations to the island and from the island. Guests should have their ferry/tram reservation confirmation number available if/when changing ferry reservations. Transportation personnel will not be able to change arrival reservations for guests that arrive before the scheduled arrival time.
HOW TO PACK
Bald Head Island's baggage handling system is similar to that of an airline, so guests should pack as if they were flying to their destination and exercise restraint in what they choose to bring. Please note that a crib and high chair are provided in Villa 20 and other items such as beach chairs, beach umbrellas, boogie boards and bicycles may be rented on the island, if not in the garage. When guests arrive at the mainland ferry terminal, they should place their baggage on the baggage racks, and notify an outfitter. Nametags are required on all luggage and boxes, and are available at the ferry terminal. Please limit luggage to no more than three checked pieces and two carry-on pieces per person. Loose items such as open-top bags or boxes, grocery bags, Styrofoam coolers, jackets, shoes, tennis racquets, surfboards or fragile items such as video cameras must be hand-carried. Such items may be subject to security screening.
Large, bulky items such as bicycles and surf boards will require a Special Cargo Ticket that can be purchased for an additional fee at the lower level ticket window at Deep Point Ferry Terminal. These special cargo items will not be transported in trams due to size, sharp edges and/or grease. Cargo space on the ferries is constrained; therefore, it is possible that during peak periods cargo items will not be transported on the same ferry as passengers. Every effort will be made to transport special cargo within six hours of the guest's ferry time. Special cargo may be claimed at the island ferry terminal and transported by the owner using a golf cart provided with the accommodations. Special cargo departing the island should be brought to the island ferry terminal two hours prior to the guest's departure so it can be transported to the mainland for timely pick-up by the guest. Failure to do so may result in having to wait for a later ferry to deliver your cargo, thus delaying your departure. Expensive bicycles are discouraged on the ferry system as they can become damaged in transit. Please note: Bald Head Island Limited and Bald Head Island Transportation accept no liability for bicycles damaged in transit.
FURNISHINGS AND EQUIPMENT
Villa 20 has a fully equipped kitchen, washer and dryer, vacuum cleaner, color TV, central heat and air conditioning, telephone, crib and pack & play, high chair, bath towels, bed linens and the use of electric carts. Owners have two carts for guest use and attempt to keep them both operational at all times – but only guarantees one per visit. Other items such as beach chairs and beach umbrella are in the garage for guest use. Boogie boards and bicycles may be rented on the island. Linens for cribs must be brought by the guest. Complimentary initial supplies of cleaning products, paper towels, bath tissue and soap are provided at check-in. Additional supplies can be purchased at the Maritime Market. Locked closets are maintained by owner for personal use. Please respect these areas.
HOUSEKEEPING
Accommodations are thoroughly cleaned before each guest's arrival. Additional housekeeping services can be requested at a special rate, based on availability. Reservations of two weeks or more in duration will receive a mid-stay freshen.
ACCOMMODATIONS CAPACITY
The number in your party should not exceed six based on sleeping accommodations, excluding a child who will sleep in the crib. Private functions/parties in excess of 12 people are not allowed in rental accommodations without prior approval. The Community Center is available for rental.
PETS
No pets are allowed in Villa 20. We reserve the right to terminate any rental, without refund, if pets are found on the premises. We also reserve the right to demand the removal of any unauthorized pet from the premises as well as charge an additional $250 fee per pet to treat the property for flea extermination, cleaning and damages.
SAFETY
The Village of Bald Head Island is an incorporated municipality, and ordinances are in place to protect the island and its inhabitants. Information about Village ordinances pertinent to your visit and activities can be found in the in-room directory provided in each rental accommodation or by contacting the Village at (910) 457-9700. Please note: gas grilling is restricted to the deck area under the steps out of the wind. Villa 20 is equipped with two carts, a six passenger and a four passenger. Please note: Electric golf carts are not toys, and their misuse can lead to serious adverse consequences. They are subject to all laws and ordinances applicable to operation of a motor vehicle on a public road, including the requirement that operators must possess a valid driver's license, be at least 16 years old, and not under the influence of alcohol or drugs. Be sure to read and follow all instructions provided in the vehicle for golf cart operation, including the precautions suggested for the safety of drivers and passengers. Whether biking, hiking, swimming or riding, please take care and make this a safe vacation trip for you and your family on Bald Head Island.
CONSTRUCTION
Unfortunately, we cannot predict the location of construction activity on the island and may not be able to inform you at the time you make your reservation whether your accommodations are near a construction site. We will not make refunds because of construction activity.
SEVERE WEATHER
If hurricanes or other extreme weather conditions occur, the Village of Bald Head Island may declare a state of emergency, or voluntary or mandatory evacuations. In either event, the lodging portion of accommodations charges will be prorated from the time of departure for a mandatory evacuation from the island until the island is reopened, or until the end of your reservation period, whichever comes first. If you choose to depart the island prior to an official mandatory evacuation declaration from the Village, no refunds will be made. Ferry tickets back to the island will be charged at full rate.
